How We Handle Your Personal Information

This document explains what information TimberArt collects from customers, why we need it, and what we do with it. We take your privacy seriously and follow Indian data protection laws.

Following Indian Privacy Laws

TimberArt operates under Indian law. We comply with the Information Technology Act, 2000 and the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011.

Our business is registered in Bangalore, Karnataka. All customer data stays in India. We do not transfer personal information to other countries.

How We Protect Your Data

We store customer information in password-protected digital files accessible only to Arjun Kumar and our administrative staff. Physical order forms remain locked in our workshop office. We keep records for seven years as required by Indian tax law, then permanently delete them.

Our website uses basic security measures. We do not process credit card payments online. All payments happen in person or through direct bank transfer, reducing digital security risks.

What Information We Collect and Why

When You Order Furniture

To create and deliver custom furniture, we collect:

  • Your name: For order documentation and communication

  • Phone number: To send progress updates and coordinate delivery

  • Email address: For sending quotes, drawings, and invoices

  • Delivery address: Required only if you need furniture delivered

  • Design preferences: Wood type, carving patterns, measurements you provide

When You Register for Classes

Workshop class registration requires the same information as furniture orders. We may also ask about previous woodworking experience to place you in appropriate skill level classes.

When You Visit Our Website

Our website does not use cookies or tracking tools. We do not collect information about your browsing behavior. When you submit the contact form, we receive only the information you type into the form fields.

When You Email or Call Us

We keep records of email conversations and phone call notes related to your orders. This helps us remember specific requests and preferences for future projects.

Information We Never Collect

We do not ask for or store your Aadhaar number, PAN card details, passport information, or any government identification numbers. We do not collect religious or caste information. We do not track your location or online activity.

Being Clear About Data Usage

How We Use Your Information

We use customer data only for business operations:

  • Creating furniture according to your specifications

  • Sending progress photos during production

  • Arranging delivery or pickup

  • Maintaining warranty and repair records

  • Fulfilling tax and accounting requirements

Who Sees Your Information

Inside TimberArt, only three people access customer data: Arjun Kumar (owner), Lakshmi Devi (senior artisan handling scheduling), and our part-time bookkeeper who processes invoices.

Outside our workshop, your delivery address goes to the transport company we hire for furniture delivery. Your phone number may be shared with delivery personnel to coordinate timing. We do not share customer information with marketing companies or other businesses.

We Do Not Sell Your Data

TimberArt has never sold customer information and never will. We do not participate in data broker arrangements. Your contact details stay with us.

Marketing Communications

We do not send promotional emails or marketing messages unless you specifically ask to receive updates about new designs or workshop classes. If you want these updates, tell us during your order or send an email request. You can stop receiving updates anytime by replying to any message with "unsubscribe" or calling our workshop.

Your Control Over Your Information

Viewing Your Data

You can request to see what information we have about you. Email contact@timberart.com or call +91 9887834791. We will provide copies of your order records, contact information, and any notes we have stored. Response time is usually three to five business days.

Correcting Mistakes

If your phone number, email, or address changes, please inform us so we can update our records. This ensures we can reach you about orders in progress or warranty issues later.

Deleting Your Information

After completing your order and warranty period, you can request data deletion. We will remove your contact information from our active files. However, we must keep basic transaction records (order date, amount, furniture type) for seven years to comply with Indian tax law. These retained records contain minimal personal information.

Withdrawing Consent

If you have an active furniture order and withdraw consent for us to process your information, we cannot complete the order. We will refund any deposit paid and delete your data after closing the order file.

Filing Complaints

If you believe we mishandled your personal information, first contact us directly at contact@timberart.com. We will investigate and respond within ten business days. If unsatisfied with our response, you can file a complaint with the appropriate Indian data protection authority.

Photographs of Your Furniture

Progress Photos During Production

We take photographs of your furniture during production to send progress updates via WhatsApp or email. These photos show carving details, assembly stages, and finishing work. We store these images with your order file.

After completing your order, we may ask permission to use photos for our portfolio or website. You can say no without any effect on your order or service. If you agree, we do not include your name or address with the photos. We only mention the furniture type and approximate completion date.

Photos You Send to Us

When requesting custom designs, customers often send photos of their rooms, existing furniture, or design inspiration images. We store these photos only as long as needed for your project. Once we complete and deliver your furniture, we delete room photos unless you specifically ask us to keep them for future orders.

Workshop Visit Photos

If you visit our workshop, we do not photograph you or your visit without explicit permission. Some customers like photos of themselves with their finished furniture. We only take such photos if you request them.

Physical Documents and Records

Paper Order Forms

Initial consultations often involve handwritten notes and sketches. These papers contain your contact information, room measurements, and design preferences. We keep them in locked filing cabinets in our workshop office. Only Arjun Kumar and our bookkeeper have keys.

After scanning important documents into our digital system, we shred physical papers that are no longer needed. Customer contact details on paper get shredded after one year, once we transfer everything to digital files.

Technical Drawings

Design drawings for your furniture contain your name and order number. We keep one paper copy with the furniture as it moves through our workshop. After delivery, these drawings go into archive storage. They help us if you order matching pieces years later or need repair references.

Payment Receipts

We provide printed receipts for all payments. We keep duplicate copies for our accounting records. These contain your name, amount paid, date, and furniture description. Tax law requires us to maintain these for seven years. After that period, we destroy them securely.
